Job Purpose

The person in this role will:

  • Provide secretarial and clerical support to their supervisor or the office to help it run smoothly.
  • Handle secretarial and office administration tasks.
  • Type and proofread documents, reports, letters, messages, and other materials.
  • Help prepare correspondence and documents as needed.
  • Perform office management and documentation duties as required.

Duties for job

Main Functions:

  • Provide timely operational support.
  • Implement scheduled operational activities and report on them.
  • Assist with logistical arrangements, activity implementation, and updates.
  • Communicate effectively with internal and external stakeholders.
  • Follow up on meeting decisions and correspondence to ensure they are acted upon.
  • Prepare routine office communications and help compile data for reports.
  • Help create, improve, and maintain record and retrieval systems.
  • Follow up on the provision and maintenance of office facilities and materials.

Specific Responsibilities:

  • Draft responses to routine correspondence for supervisors’ signatures.
  • Type and proofread documents and reports as needed.
  • Greet visitors and staff, providing basic information on relevant issues and procedures.
  • Assist with logistical arrangements, activity implementation, and updates.
  • Maintain an organized filing and recording system for all correspondence and documents.
  • Respond to and screen telephone calls and emails, and follow up with supervisors and partners.
  • Keep an up-to-date diary of appointments for supervisors.
  • Ensure office equipment is in good condition and report defects for maintenance.
  • Provide daily administrative support to various work units.
  • Ensure there is a sufficient supply of stationery, equipment, and furniture in offices.
  • Perform reception duties as needed.
  • Complete any other relevant tasks assigned.

Requirements and Experience:

  • Diploma (Bac+2) or Bachelor’s Degree (Bac+3) in Secretarial Studies, Office Management, or a related field.
  • Three (3) years of experience with a diploma or two (2) years with a bachelor’s degree in public organizations, diplomatic missions, international organizations, or international non-governmental organizations.
  • Higher qualifications and communication-related training are advantageous.
  • Experience with the African Union Commission, United Nations, or similar international organizations is a plus.

Required Skills:

  • Excellent knowledge of computer applications like Word, Excel, Outlook, and PowerPoint.
  • Strong planning and organizational skills.
  • Very good typing skills (at least 50 words per minute).
  • Good interpersonal and communication skills, both oral and written.
  • Proficiency in one AU official language (English, French, Arabic, Portuguese, Spanish, Kiswahili) is required; fluency in English and French is advantageous.
  • Excellent team player, able to work in a multi-cultural environment.
  • Good analytical skills, ability to find solutions, firm yet flexible, confident.
  • Ability to manage stress.
  • Strong personality, friendly, polite, and patient.
  • Ability to work quickly, accurately, and efficiently, meeting tight deadlines.
